Clutch is looking for an experienced Office Manager for a client of ours. This dynamic role acts as the operational heartbeat of a premier Philadelphia office, blending high-end hospitality, executive administrative support, human resources assistance, and workplace culture leadership.

Responsibilities:

  • Workplace Experience & Hospitality: Oversee the daily environment of the workspace, ensuring public areas, meeting rooms, and amenities are flawlessly curated—managing everything from ambient lighting and sound to sensory details that elevate the guest experience.
  • Front Desk & Operations: Serve as the welcoming face of the office, greeting team members, clients, and vendors; manage incoming deliveries and oversee the agency's primary voicemail system.
  • Executive & Administrative Support: Provide high-level administrative assistance to select members of the C-Suite, including coordinating complex business travel and logistics for the team.
  • HR & Culture Initiatives: Support human resources with internal logistics such as maintaining corporate organization charts, managing key card security access, coordinating employee milestones (birthdays, spot bonuses), and spearheading the internal Culture Committee.
  • Event & Meeting Coordination: Manage the end-to-end logistics for on-site gatherings, high-stakes client pitches, and agency events, including food, beverage, and room setups.
  • Client Relationship Tracking: Develop and maintain a comprehensive client profile database to track key preferences, dietary restrictions, and milestone anniversaries.
  • Facilities & Vendor Management: Partner directly with the CFO on building management needs, oversee maintenance of office hardware and equipment, and handle corporate swag procurement for various internal divisions.
  • Commuter Benefits: Oversee the ordering and local distribution of transit commuter checks.

Qualifications:

  • Solid background in client relations, premium hospitality, or front-of-house corporate management.
  • Exceptional organizational skills paired with meticulous attention to detail.
  • Proven ability to multitask and effectively prioritize competing demands in a fast-paced environment.
  • Must be able to work on-site at the Philadelphia office location 2–3 days per week.
